About the Role
As our Sales Operations , you’ll make sure our sales team has the systems, data, processes, and tools they need to work efficiently.
You’ll be the person who notices when something is not working, identifies the root cause, coordinates the right solution, and ensures the problem is actually fixed.
This is not a traditional sales role. Instead, you’ll work behind the scenes to keep our sales infrastructure organized, reliable, and ready to scale.
What You’ll Do:
Sales & Seller Readiness:
- Manage onboarding checklists and ensure new sellers have access to all required tools, systems, and resources.
- Verify that email, HubSpot, phone/messaging, Instagram, calendar, scripts, targets, and lead queues are ready before sellers work independently.
- Maintain and improve sales playbooks, processes, and documentation.
HubSpot & CRM Operations:
- Keep HubSpot organized, accurate, and reliable.
- Manage pipelines, fields, permissions, workflows, views, reports, associations, and lead routing.
- Identify and resolve issues such as duplicate records, missing owners, stale opportunities, incomplete data, and overdue next steps.
- Partner with the sales team to improve CRM adoption and data quality.
Conversation Intelligence:
- Manage conversation-intelligence operations using tools such as Avoma, Gong, or similar platforms.
- Ensure eligible calls are properly captured and associated with the correct CRM records.
- Troubleshoot capture, sync, and permission issues.
Lead Routing & Sales Workflows:
- Turn sales priorities into clear and actionable seller queues.
- Make sure every priority lead or handoff has an owner, next action, and due date.
- Identify bottlenecks and improve workflows so sellers can focus on selling.
Reporting & Sales Performance:
- Build accurate and easy-to-understand sales scorecards and reports.
- Provide the Head of Sales with reliable, decision-ready information.
- Monitor funnel activity and identify the biggest operational constraints.
- Help turn data into clear actions and process improvements.
Process Improvement:
- Maintain one source of truth for scripts, pricing, processes, and updates.
- Track action items from huddles, 1:1s, and Level 10 meetings.
- Own an issue list with clear owners, deadlines, and business impact.
- Resolve routine blockers and escalate larger technical or operational issues when needed.
- Use responsible automation and AI to improve reporting, exception detection, queues, and operational efficiency.
What We’re Looking For:
Required:
- 3–5 years of experience in Sales Operations, Revenue Operations, RevOps, or CRM Administration.
- Hands-on experience with HubSpot or a similar CRM.
- Strong understanding of CRM pipelines, workflows, fields, permissions, reporting, routing, and data hygiene.
- Experience working with Avoma, Gong, or another conversation-intelligence platform is highly valued.
- Experience supporting sales teams and translating commercial priorities into simple, repeatable processes.
- Strong problem-solving and diagnostic skills.
- Excellent attention to detail and follow-through.
- Ability to identify the root cause of operational or system issues and drive them through to resolution.
- Strong written and verbal communication skills in English.
- Advanced/professional working proficiency in English.
- Bachelor's degree in Business Administration, Statistics, Industrial Engineering, Systems Engineering, or a related field.
- Comfortable working with Google Workspace, especially Sheets, Docs, and Calendar.
- Ability to work responsibly with customer and sales data.
Nice to Have:
- Experience in a nonprofit, NGO, or mission-driven organization.
- Experience supporting distributed or international sales teams.
- Experience working across multiple countries or time zones.
- Familiarity with EOS / Level 10 meeting structures and scorecards.
- Experience with data visualization, reporting automation, or BI tools.
- Experience using AI or automation to improve sales operations.
